# Export, share and calendar feeds

> Download the schedule as a calendar file, CSV or PDF, subscribe to it from your calendar app, and send a support recipient their schedule.

Take the schedule out of Elate: download what you are looking at, subscribe to a live feed in your own calendar app, or send a support recipient (or their family) a copy of their visits.

**Who can do this:** anyone whose role includes **View schedule**, which is every role by default. A calendar feed of the whole organisation needs **Edit schedule** (by default Organisation Owners, Service Provider Admins, Care Managers and Care Coordinators); for everyone else the feed holds only their own visits. Sharing a support recipient's schedule also needs access to that person's profile. Your organisation can change this in **Settings > Permissions**.

Your organisation may use different words for some things, such as "Service users" instead of "Support recipients". Elate shows your organisation's words everywhere, so follow what you see.

## Download the schedule

    In **Schedule**, choose the view and date, and use **Filter** to narrow it down. The download holds the visits you can see: the day, week or month on screen, with your filters applied. In **Agenda** view it holds the week of the date shown.

    Select **Export**.

  <Step title="Pick a format">
    Select **Download .ics**, **Download CSV** or **Download PDF**. The number in brackets is how many visits the file will hold.

| File | Use it for |
| - | - |
| **.ics** | Importing the visits into a calendar app as a one-off copy. |
| **CSV** | A spreadsheet with the date, the time (in your organisation's timezone), the visit, the support recipient, the carer and the status. |
| **PDF** | A simple printable list of the same details. |

**Export** is also on a person's **Schedule** tab in their profile, where it covers only that person's visits.

## Subscribe with a calendar feed

A feed is a private link your calendar app checks for changes, so visits stay up to date without downloading again.

    In **Schedule**, select **Export**, then **Subscribe (calendar feed)…**.

  <Step title="Create the link">
    Select **Create feed link**. Elate shows the link and **Calendar feed created**.

  <Step title="Copy it into your calendar app">
    Select **Copy**, then add the link to your calendar app as a subscription.
  </Step>

What the feed holds:

* visits from now until about three months (92 days) ahead
* each visit's title, time and location
* cancelled visits, marked as cancelled
* the whole organisation if your role includes **Edit schedule**; otherwise only visits you are assigned to (your login must be linked to a team member record)

Elate checks your access every time the feed is read. If you leave the organisation or lose access to the schedule, the feed stops updating.

Feeds are only offered on the main schedule, not on a person's profile.

  Anyone who has the link can see the visits in it. Keep it to yourself, and turn it off if it might have been shared.

### Turn off your feed links

    Select **Export**, then **Subscribe (calendar feed)…**.

    Select **Turn off my feed links**, then **Turn off links** to confirm.
  </Step>
</Steps>

Every link you created for this organisation stops updating, and calendars using them clear the visits at their next refresh. You can create a new link at any time.

## Share a support recipient's schedule

    Open the support recipient's profile and select the **Schedule** tab.

  <Step title="Show the dates to share">
    Choose the view and dates. Elate shares the period on screen: the day, the week, the month, or in **Agenda** view the next 60 days from the date shown.

  <Step title="Select Share">
    Select **Share**, then:

    * **Download PDF** to save the schedule as a PDF, or
    * **Email schedule…** to send it.
  </Step>

  <Step title="Send the email">
    Check the **Recipient email**. It starts with the support recipient's own email address, if one is on record. Select **Send**.

The email attaches the schedule as a PDF and also lists the visits in the message. Each visit shows its time, its title and who it is assigned to. Cancelled visits are left out.
