Elate’s Electronic Medication Administration Record (e-MAR) gives you a centralised, date-stamped record of every medication prescribed to a support recipient. You can add new prescriptions, set administration schedules, record outcomes after each dose is given, and track missed administrations — all within the recipient’s profile. This guide covers everything from accessing the medication tab through to submitting a recorded administration.

Accessing the Medication Tab

To view a recipient’s current medication record, open their profile from the Client Dashboard and click the Medication tab. You will see a list of their active prescriptions, including dosage and scheduled administration times. To view the full details of a specific prescription, click on it. This expands the record to show:
  • Prescription date
  • Route of administration
  • Medication type
  • Reason for medication
  • Inventory levels for re-ordering
From this view you can also:
  • Edit the prescription by clicking the pen icon.
  • Delete the prescription by clicking the bin icon.
  • End the medication by scrolling down and selecting End Medication.

Adding Medication

Navigate to the Medication tab

Open the support recipient’s profile and select the Medication tab.

Click Add Medication

Select the Add Medication button to open the medication creation form.

Enter the medication details

Complete the following fields:
  • Medication name, strength, and form — for example, Metformin 500mg tablet.
  • Route of administration — such as oral, topical, or inhaled.
  • Dosage — the amount to be administered per dose.
  • Type of medication — for example, prescribed or over-the-counter.
  • Reason for medication — the clinical or care reason for this prescription.
  • Stock for re-orders — the current stock level, used to trigger re-order reminders.

Schedule the medication

Set a start date and time for the first administration. If the medication is recurring, click Select Recurrence and specify the recurrence pattern and end date. Click Done once the schedule is configured.

Add support requirements

Enter any special instructions or support requirements needed when administering this medication — for example, whether the recipient needs physical assistance or whether the medication must be taken with food.

Save the medication

Click Save to add the medication to the recipient’s profile. It will now appear in the Medication tab and on its scheduled dates.

Recording Medication Administration

After a medication has been scheduled, you can record whether it was administered on each due date.

Open the Medication tab

Navigate to the Medication tab in the recipient’s profile. Medications are displayed under the date they are scheduled.

Click Record

Click the Record button next to the medication you are documenting.

Complete the administration record

Fill in the following fields:
  • Outcome — confirm whether the medication was administered.
  • Reason if not administered — if the medication was not given, record why (for example, the recipient refused, or the medication was unavailable).
  • Notes — add any relevant observations about the administration.
  • Updated stock levels — adjust the current stock count to reflect what was used.

Submit the record

Click Submit to save the record. The update will be reflected immediately in the recipient’s medication profile.

Understanding Medication Status Indicators

The button displayed next to each scheduled medication changes colour and appearance depending on its date and recording status. Use these indicators to quickly identify what needs attention:

RecordedGreen check markThe administration outcome has been successfully recorded for this date.
You can still record the outcome for a past date if you forgot to do so at the time. However, always aim to record on the day the medication is due. Late entries increase the risk of errors and make compliance audits harder to pass. If you notice an amber icon, address it as soon as possible.
