Support visits are at the heart of care delivery in Elate, and it is important that records stay accurate even when things do not go exactly to plan. This page answers the most common questions about updating visit statuses, recording expenses after the fact, and understanding how notes work before and after a visit is completed.
Yes — but what you can do depends on when the correction is being made and who is making it.If the visit is on the same day:If you forgot to check in or check out at the scheduled time, you can still do so later in the same day. The Check In and Check Out buttons remain active throughout the day the visit is scheduled.
Elate records your actual check-in and check-out timestamps rather than the scheduled times, so the record will accurately reflect when the visit took place. The originally scheduled visit duration is preserved alongside this for reference.
If the visit was on a previous day:Once the scheduled day has passed, the Check In button becomes inactive for standard users. At this point, only a Manager or Admin can mark the visit as complete. They can do this in one of two ways:
  • Navigate to the Finance Overview section and complete the visit from there.
  • Click on the visit event in the schedule, then select the Edit button in the event panel and choose “Complete in the past” as the activity status.
Completing visits in the past is intentionally restricted to managerial and administrative roles to protect the integrity of care records and audit trails. Support workers cannot complete past visits themselves.
If your team frequently has overdue visits that need manual correction, it may be worth reviewing how check-in reminders or workflows are set up to reduce the number of manual interventions needed.
Yes. You can add or edit mileage and expense entries at any point in time, including well after a visit has taken place. You do not need to log these on the day of the visit.How it works:
  • Expenses and mileage are linked directly to the support visit record.
  • Return to the visit record at any time and add or update the relevant details.
  • Any changes you make are automatically reflected in Elate’s finance and reporting outputs.
This flexibility is particularly useful when carers or support workers do not have time to record costs during or immediately after a visit. The visit record remains open for these updates so nothing gets missed.
If you regularly add mileage or expenses after visits, make it a habit to review all outstanding entries before invoicing or payroll is finalised. This helps ensure your financial records are complete and accurate before they are processed.
It depends on the current status of the visit.Before and during the visit:Notes can be freely added, edited, or deleted by all users while a visit is upcoming or actively in progress. This gives you flexibility to update information as circumstances change right up until the visit is complete.After check-out:Once a support visit has been checked out and marked as complete, all notes attached to that visit become read-only. They cannot be edited or deleted by any user.

Notes are locked after check-out to protect the accuracy and integrity of care records. Once care has been delivered, the record of what happened during that visit should remain unchanged.
If you need to add important information after a visit has already been completed and checked out, you can record a new note from the Notes overview tab within the support recipient’s dashboard. This keeps a clear record without altering the original visit notes.
