Record the times a team member cannot work, so the office can see them in one place and plan around them. Who can do this: anyone whose role includes Availability. By default that is Organisation Owners, Service Provider Admins, Care Managers, Care Coordinators and Team Leads. Your organisation can change this in Settings > Permissions. Your organisation may use different words for some things, such as “Service users” instead of “Support recipients”. Elate shows your organisation’s words everywhere, so follow what you see.

Record leave or unavailable time

Open Operations

In Elate on the web, select Operations in the sidebar, then the Overview tab.

Add a block

In the Availability section, select Add. The Add availability block sheet opens.

Fill it in

Choose the Team member and a Reason: Annual leave, Sickness, Training or Unavailable. Set the Start and End date and time.

Save

Select Add availability.
The block appears in the Availability list with the person’s name, the reason, when it starts and a status. A new block has the status requested, and Organisation Owners, Service Provider Admins, Care Managers and Care Coordinators get a Time off requested notification by default.

See one person’s availability

Open the team member’s profile and select the Availability tab. It lists their blocks with dates and status, next to their overtime. You can view it with Team; adding a block is done in Operations.

How leave shows when you assign a visit

When you choose a carer for a visit, Elate sorts the team into Best match, Good fit, Available and Unavailable. A team member on approved leave at that time goes into Unavailable with the reason On approved leave. They can still be chosen.
Only approved blocks count as leave in the carer list. Blocks added in Operations are saved as requested, and Elate on the web has no control to approve them, so they do not move anyone into Unavailable. Check the Availability list before you assign.

Weekly hours

Each team member has Weekly hours on their record (37.5 when the record is created). Organisation Owners, Service Provider Admins and Care Managers can change it with Edit profile on their profile. The carer list uses it to show how much time someone has left, for example “6 h left this week”, or “Over hours by 2 h”.
