Settings holds the rules and defaults that apply to your whole organisation: who can do what, the words Elate uses, your lists, your branding and more. This page explains what each tab is for and links to the full guide where there is one. Who can do this: anyone whose role includes Settings. By default that is Organisation Owners and Service Provider Admins. Anyone whose role includes Support recipients or Team can also open Settings, for the Groups tab and, if their role includes Audit, the Audit trail tab. Your organisation can change this in Settings > Permissions. Most tabs also have their own rule, shown below. Your organisation may use different words for some things, such as “Service users” instead of “Support recipients”. Elate shows your organisation’s words everywhere, so follow what you see.

In Elate on the web, select Settings in the sidebar.

Pick a tab

Select a tab in the strip at the top of the page. Permissions opens first, or Groups if your role does not include Settings. You only see the tabs your role can open.
Settings is only on the web. The Elate Care app has no organisation settings.

The tabs

The Groups and Schedule tabs take your organisation’s own words for groups and the schedule.

Permissions

A grid of permission areas against roles. Tick a box to give an area to a role. Each change applies to everyone in that role straight away, and there is no separate save. Organisation Owners and Service Provider Admins hold every area, so their columns are locked. An area that belongs to a module your organisation does not have is greyed out with a note saying so. Only Organisation Owners, Service Provider Admins and Care Managers can change the grid. Anyone else whose role includes Settings sees it read-only. See Roles and permissions.

Groups

Groups link support recipients with team members for rota planning. Belonging to a group does not change who can see a record. The Everyone entry holds your organisation’s default office address, the starting point for travel time estimates. See Groups and offices.

Schedule

Turn Estimate travel time between visits on or off, and set the Default travel time (minutes) Elate shows when it cannot estimate a journey. The tab also lists Deleted visits. Select Restore to put one back at its original time. See Bank holidays and travel time and Cancelling, restoring and deleting visits.

Terminology

Rename seven key words, such as “Visit” or “Support recipient”, to match how your organisation speaks. See Terminology.

Taxonomies

Add your own values to the lists Elate offers in drop-down menus. Pick a list in List, for example Incident category, Document type or Team skills, or one of the support recipient profile lists such as Ethnicity or Eye colour. Fill in a value and a label, then select Add value. Your values appear alongside the ones Elate provides. You can remove a value you added with the cross on its badge. The values Elate provides cannot be removed. Only Organisation Owners, Service Provider Admins and Care Managers can add or remove values.

AI

Turn AI features enabled for this organisation on or off, and set the Voice recording retention (days). See AI settings and your data.

Medication

Turn Medication records on or off for your organisation, and set your medication policy, such as the standard dose times. See Medication (eMAR).

Notifications

Set the notification defaults for everyone in your organisation. Each person can still change their own on their profile. See Organisation notification settings.

Branding

The Branding and billing details that head your invoices and emails:
  • Identity: your Legal name, an Organisation logo (PNG or JPEG, up to 2 MB) and a Brand colour.
  • Billing address: the address, Billing email and Billing phone printed on invoices.
  • Tax and company: whether you are VAT registered, your VAT number and Company registration number, and the Default VAT rate (%) and Default payment terms (days) a new invoice starts with.
  • Bank details: printed on invoices when the invoice template is set to show them.
  • Invoice footer: text that ends every invoice, such as payment terms or a thank you.
A preview beside the form shows an invoice, a report and an email with your changes. Select Save branding and billing when you are done. Changes apply to future invoices. Invoices already issued keep their original details.

Create invoice layouts for different contracts and funders, and choose a default. See Funders and invoice templates.

Audit trail

The 50 most recent sensitive actions in your organisation, newest first. Each row shows the Action, the record it was done to (Target), who did it (Actor) and the Time. An action Elate made by itself shows System as the actor.
